The Autodialer is an automated telephone voice and fax processing software application program. It controls a telephone interface board (voice card) .



The AUTODIALER runs on a PC-compatible computer that has a hard disk, Microsoft's WindowNT operating system, and a DIALOGIC-compatible voice processing interface card.



Most simply stated, The AUTODIALER software program and a voice card, along with your computer can automatically answer or place telephone calls, play pre-recorded voice prompts, detect telephone pushbutton responses from a person, decide what to do next based on a caller's response, and make recordings for later listening. When an appropriate faxmodem is installed in your computer, it can also send and receive fax messages automatically on any telephone line that is connected to a faxmodem.

As with any system, there is a trade-off between ease-of-use and absolute flexibility. We feel The AUTODIALER represents a good balance between these two opposing requirements. Each of the major functions that people use computer telephone systems for is already set up, so, for example, rather than having to build a voice mail system by programming or using an application generator, you need only to tell the system what the mailbox numbers will be, and enable or disable specific features on each mailbox.



Similarly for an Auto attendant, you need only to create the extensions and determine where the calls will be sent for each selection. For Fax On-Demand, you need only create the documents and list them in the fax on-demand system to make them available to callers. For audio text, you create the message numbers, and record the voice menus and choose from a few options for what happens next in the system.



For outcall telemarketing, you need only create or import your list of telephone numbers and create a small audio text menu to play to the people who answer the calls.Since The AUTODIALER uses relatively inexpensive PC-compatible hardware in place of proprietary systems, you can have your own voice system at a fraction of the cost of a typical vendor-specific solution.




Voice and Fax Processing Applications The AUTO Dialer telephone voice processing applications are divided into five sections: Auto attendant,

Voice and Fax Mail,

Fax On-Demand,

Audio text,

and Outcall Telemarketing.



The auto attendant is an automatic system which answers an incoming call, plays a greeting based on the time of day or weekend, plays a message listing options available to the caller, and attempts to transfer the call to another extension or telephone number based on the caller's response.



The AUTODIALER allows you to list phone numbers to try for each extension. You can even change these numbers remotely through your telephone! Often when transferred calls are not answered or busy, the auto attendant will be used to send the caller to voice mail to take a message for the person they were trying to reach. You can also provide pathways from the auto attendant menu to other sections of the program such as "Press 4 for the fax on-demand menu."Voice and Fax MailVoice mail allows the storage and retrieval of personal voice messages.



"Mailboxes" are set up for persons or departments, and when a call is received to a voice mailbox, the caller hears the mailbox owner's personal greeting and may be allowed to record a voice message. After recording his/her message, the caller can review it and re-record, erase, or send the message. When the message is later retrieved and played by the mailbox owner, it can be erased, forwarded to another mailbox, or saved for later listening.



Voice mail is most often combined with the auto attendant to fully automate a company's call handling. A voice mailbox owner can be automatically notified of the reception of a message by the lighting of a telephone system "message waiting" light, by a call to a different number to play the messages, or a call to a pager. Any two of these actions can be performed for each mailbox, and the notification can be optionally delayed for a period of time or repeated many times automatically until the mailbox is checked.



Fax mail works similarly to voice mail only instead of recording voice messages, it receives and stores fax messages. Later the owner of a fax mailbox can call into the system, find out if he or she has any fax messages waiting, and if any are present, retrieve them to a fax machine.



If they are successfully retrieved, they will be automatically deleted to make room for more messages.Fax On-DemandFax on-demand allows your callers to select and automatically receive fax documents that you have made available in the system.



With The AUTODIALER, you can create a document as a text file or as a graphic .PCX or .DCX file. When a caller selects a document from the fax on-demand menu, he may be asked for a password (if you require one for the document), and then he will be asked to verify his selection. He then may select more documents (up to a limit that you set) or receive the documents he has selected.



To receive documents, he may enter his telephone number (if you allow two-call fax on-demand), or if you have a faxmodem attached to each line, receive them during the same call if he called from his fax machine. Additionally, if you have a faxmodem attached to each line, a caller may update his documents by "faxing in" the new image for a specific document (upon entering a password if you require one).AudiotexAlso called "Audio text", these systems play pre-recorded messages to a caller based on his/her responses to questions. There are two general methods to select the message to be played to the caller: By message number, or through a "tree" of menu selections. The first type of system might be a medical information system where callers have a printed catalog of messages, and then call into the system and press, for example, 1000 to listen to nutritional information, 1001 for advice on treatment for a cold, 1002 for advice on treating flu.



An example of the second type is a system which callers can use to listen to information about theater, restaurants and sporting events by pressing 1, 2, or 3, followed by questions which more-specifically identify the message to be played, such as west or east side of town, etc.Outcall TelemarketingOut calling systems are those applications, which initiate calls and do their voice-process when a party answers.



The AUTODIALER can make outgoing calls to pagers to notify users of voice mailbox messages, call a user and allow him to listen to new messages, or call a list of numbers and play and record messages.Telephone Equipment and Call ProcessingTelephone Systems and ServicesIn order to be able use the call transfer features of The AUTODIALER; you will either need specific features from your telephone company or a private telephone system within your office.



Private Telephone SystemsThere are a large number of manufacturers offering private telephone systems such as Panasonic, Vodavi, AT & T, Toshiba, BBS Telecom, Samsung, and many more.



These systems are most-often called a KEY SYSTEM or PBX and consist of several "proprietary" telephones and a KSU or Key System Unit (a larger box to which all of the phones are connected). If you have one of these systems, you will attach your voice card to several of its extensions, rather than attaching it directly to the telephone line (you may have to consult your system's manufacturer).



In order to use voice mail with any of the systems, the primary requirement you will need is two or more "Analog Ports" or the ability to attach several "Single Line Devices." These mean the same thing. A connection of this type allows you to attach a standard single-line telephone (called a 2500-set) to your phone system.



You can easily test if a given port will work by connecting a standard telephone like the one you likely use in your home to the port. If you can hear a dial tone and place and transfer calls then the voice card in your computer will also be able to do so. If you cannot hear anything when you attach a standard telephone to your phone system, no voice mail system will work with it until you either obtain the necessary phone system upgrade from the manufacturer or get a different private telephone system. A few systems come standard with these types of ports, among them are: Panasonic 308, 616, 1232, AT&T Partners (not Merlin), and BBS Telecom. Most systems have an available option to allow this type of connection - check with your phone system retailer to obtain this capability for your phone system.Telephone Line Transfer FeatureIf you don't have a PBX or KEY telephone system, you will attach your voice card directly to the telephone company's lines.



You may be able to order a feature called "call transfer" from your local telephone company that will allow you to place an incoming call on-hold, dial another number, and hang up, leaving the person who called you connected to the person you called after initiating the transfer. This capability is essential to the successful installation of a call processing system that transfers calls. Increasingly, the phone companies in the U.S. offer this feature only with CENTREX-type business phone service (there are a variety of names used for this service such as PLEXAR or CENTERNET and more, ask your local phone company rep). Another common feature of CENTREX is that you need to dial 9 or 8 to call a phone outside of your office (and you don't have a private telephone system). Also, with CENTREX, you may be able to call another phone in your office by dialing only the last several digits of its phone number.If you cannot get CENTREX service, or if it's too expensive for your budget,



The AUTODIALER can use a widely available feature called "3-Way Calling" or "Conference Calling" to provide a transfer-like capability for the system.Types of Call TransferringThere are two ways to send calls that come into your system back out of The AUTODIALER.Blind TransferA "blind transfer" simply places the caller on hold, acquires a new dial tone from the central office or your PBX, dials the number and hangs up, freeing up the line or channel on the system. If the number dialed is busy or nobody answers, the caller will be stuck and will have to call again later.Supervised TransferA supervised forward requires much more intelligence from a call processing system than a blind transfer. This additional intelligence is called "Call Progress Monitoring.



"When a call is transferred with supervision, the system places the caller on hold and acquires a new dial tone, dials the destination number and then the board's call progress monitoring listens to the progress of the call and determines whether it is incomplete, ringing, busy, or answered. If it is answered, the computer system may complete the transfer by hanging up, optionally allowing the person answering to decline the call based on who is calling (call screening) or what department is being called (call announcing).



If the call is not answered or is rejected, the caller may be sent to voice mail. A 3-Way transfer works the same way as a supervised transfer, only after the conversation begins, the voice card stays on the line to maintain the "3-way" connection (Caller-Computer-Called Person).



Soundbites are digitally recorded audio messages that are recorded and played by The AUTODIALER. A sound bite can be any length up to the maximum capacity of the disk space on the machine. It takes about 3,000 to 8,000 bytes of disk space to record one second of sound depending on what level of quality you choose. In The AUTODIALER, these sound recording are stored in one of several directories depending on the use of the recording. There are built-in sounds, name sounds, outgoing message sounds, audio text sounds, and mail sounds. The AUTODIALER has a window called the "Line Control and Sound Recorder" which keeps track of these files and allows you to play and record them (except for mail messages). When you set up your system, you may re-record some of the menus to reflect your company's name and the menu choices that you have set up. For example, the standard auto attendant main menu says "Please enter the extension you wish to reach or press # (pound) for a directory of extensions." You may want it to say "Press 1 for Sales, 2 for Service, 3 for Accounting or press # for a directory of extensions."
